We have taken adequate measures to make sure that your personal data is kept safe and only used for the purpose for which you have provided us your consent and in accordance with our privacy policy. Once you revoke your consent we will retain your personal data no longer than required by law.

What are personal data and why do we process these?
Personal data are details that tell something about you, or which we can connect to you. You share data with us if you contact us for employment, or any other purpose. Or we may have collected data which you provided directly to us during an event, or which you had published publicly, and which we collect for recruitment, or Direct Marketing purposes. These data could include your name, telephone number, email address, IP address, or your Curriculum vitae.

Personal data are all the details which we can connect to you. An IP-address on its own is not a piece of personal data. But it becomes that as soon as you know whose IP-address it is. If we use your data for statistical or reporting purposes, we anonimise it so that it can no longer be connected to you.

We limit the processing of your personal data to the purpose for which it was lawfully collected: for example, you applied for a vacancy at Keylane. In that case we have collected your personal data in regards to recruitment purposes, and we will only process those collected data for recruitment purposes. We process your personal data for no longer than is lawful.

We may also process your personal data on behalf of another company with a legitimate interest to do so, for example if you have an insurance coverage, or pension policy with one of our customers. In those cases, we have made adequate agreements with those companies to safely process your data on their behalf.

With whom do we share your personal data?
In principle, we do not share your data with other parties. We do that only if we are required to do so, or if there is good reason to do so. For example, a contract or legal requirements may cause us to do so. In all such cases, strict rules apply for sharing personal data, and we comply with those. Who do we share data with:

  • other legal entities within Keylane. Keylane consists of several legal entities. These all follow the same rules, and your personal data is not shared between these entities without a good reason. For example, you may apply for a vacancy at one of our legal entities via the Human Resources department – which works for all of Keylane;
  • the government, in order for them to perform their duties;
  • companies we work with. For example, we develop and maintain websites and applications with other companies, and we use the infrastructure of other companies to transport your data. If this is the case, we contractually regulate adequate security measures;
  • other companies – but only at your explicit request;
  • our customers, which are insurance companies and pension funds on behalf of which we process your data. It goes without saying that we do not share your personal data with other insurance companies and pension funds that those with a legal ground to process your data.

How do we secure your personal data?
We are highly committed to secure your personal data. We devote a great deal of attention to secure the services we execute for our customers. We identify, assess, and if required treat risks to personal data. Adequate measures to protect your data are in place, which we continuously monitor and fortify – in order to keep up with developments such as changing technology. We resolve and register data breaches, and we report them to those parties that need to be informed. All our employees have signed a confidentiality statement and are screened on possible irregularities. Only authorised personnel may process your data, and we commit to full compliance to the applicable rules and regulations – such as the General Data Protection Regulation.

View and correct your personal data?
Do you want to know what personal data of you we have on record? If we process your data on behalf of one of our customers, you should contact that company directly. Otherwise, you can exercise your right to access, amend, rectify, and retrieve your personal data by contacting us directly. Also, contact us directly, if you want to have us erase the data we process in regards to recruitment and Direct Marketing purposes. There may be binding requirements by which we cannot erase your data, for example if they are required for fraud investigation, but in those cases we will inform you thereof.
